How-to: Modifying entries of Cash journal and general ledger types with To change processed cash entries function right

Introduction

This document describes the possible scenarios and outcomes based on the availability of the To change processed cash entries function right.

Requirements

To make the modification to the entries of the Cash journal type or entries of the general journal with the Cash general ledger type, you must have the following function rights enabled:

  • Use the change function to adjust existing transactions
  • To change processed cash entries

What version are you using?

The information in this document is applicable to product update 417 and higher. If you have versions lower than this, certain features explained here will not be applicable.

Description

Refer to the following table for further elaboration on the possible scenarios and outcomes based on the availability of the To change processed cash entries function right:

Modifying cash journal entries.

  • The cash journal entries can be modified.
  • Once the modification has been done, the entries will be saved and remained as processed.

When opening the entries, the Edit button will be disabled.

Modifying cash flow entries that were created via the cash instruments that are related to the Cash type journal.

  • The cash journal entries can be modified.
  • Once the modification has been done, the entries will be saved and remained as processed.

 

  • When opening the entries, the Save button will not be displayed.
  • The fields in the screen will be disabled for editing.

Modifying cash flow entries that were created via the cash instruments that are related to the Cash type journal and using the Book costs functionality.

  • The cash journal entries can be modified and the book costs can be applied.
  • Once the modification has been done, the entries will be saved and remained as processed.

 

  • When opening the entries, the Save button will not be displayed and the Book costs button will be disabled.
  • The fields in the screen will be disabled for editing.

Modifying cash advance entries that were created via the cash instruments that are related to the Cash type journal.

  • The cash entries and cash advance entries can be modified.
  • Once the modification has been done, the entries will be saved and remained as processed.

 

  • When opening the entries, the Save button will not be displayed and the Cash advance button will be disabled.
  • The fields in the screen will be disabled for editing.

Modifying cash advance entries that were created via the cash instruments that are related to the Cash type journal and using the Cash advance functionality.

  • The cash entries and cash advance entries can be modified.
  • Once the modification has been done, the entries will be saved and remained as processed.

 

  • When opening the entries, the Save button will not be displayed and the Cash advance button will be disabled.
  • The fields in the screen will be disabled for editing.

Modifying general journal entries with at least one general ledger of the Cash type for the normal and correction transactions.

  • The general journal entries can be modified.
  • Once the modification has been done, the entries will be saved and remained as processed.

 

When opening the entries, the Edit button will be disabled.

The availability of the Change button in the Analytical accounting screen when the cash entries are selected.

  • The Change button is enabled and the cash entries can be modified.
  • Once the modification has been done, the entries will be saved and remained as processed.

The Change button will be disabled. This is also applicable when the Zoom button is clicked.

The availability of the Change button in the Analytical accounting screen when the general journal entries that have at least one general ledger of the Cash type are selected.

  • The Change button is enabled and the general journal entries can be modified.
  • Once the modification has been done, the entries will be saved and remained as processed.

 

The Change button will be disabled. This is also applicable when the Zoom button is clicked.

The availability of the Change button in the Select/Search screen when the cash entries are selected.

  • The Change button is enabled and the cash entries can be modified.

  • The Change button is enabled and the general journal entries can be modified.
  • Once the modification has been done, the entries will be saved and remained as processed.

 

  • The Change button will not be displayed if the Use the change function to adjust existing transactions function right is disabled.
  • The Change button will be disabled if the Use the change function to adjust existing transactions function right is enabled but the To change processed cash entries function right is disabled.

The availability of the Change or Details button when the cash entries are selected.

  • The Change button is enabled and the cash entries can be modified.
  • Once the modification has been done, the entries will be saved and remained as processed.

 

  • The Change button will not be displayed if the Use the change function to adjust existing transactions function right is disabled.
  • The Change button will be disabled if the Use the change function to adjust existing transactions function right is enabled but the To change processed cash entries function right is disabled.
  • The Details button will display the cash flow entry screen in which the Save button will not be displayed. No changes can be made via this screen.

The availability of the Change button when launching the entry screen by clicking the Our ref button, and then selecting the cash entries.

  • The Change button is enabled and the cash entries can be modified.
  • Once the modification has been done, the entries will be saved and remained as processed.

 

  • The Change button will be disabled.

The availability of the Change button when launching the entry screen by clicking the Your ref button, and then selecting the cash entries.

  • The Change button is enabled and the cash entries can be modified.
  • Once the modification has been done, the entries will be saved and remained as processed.

 

  • The Change button will not be displayed if the Use the change function to adjust existing transactions function right is disabled.
  • The Change button will be disabled if the Use the change function to adjust existing transactions function right is enabled but the To change processed cash entries function right is disabled.
